Building Sequence Steps

Create multi-channel sequence steps for email, LinkedIn, phone, and direct mail outreach.

Sequence steps are the individual touchpoints in your outreach campaign. RevvedUp supports multiple delivery methods, each with specific subtypes optimized for their channel.

Delivery Types and Subtypes

Available Channels

  • Email: Standard email messages with subject and body

  • LinkedIn: Connection requests and messages (requires connection first)

  • Phone: Call scripts and voicemail templates

  • Direct Mail: Physical letter templates

Each channel has subtypes that define the specific format and behavior of your message.

Email Steps

Email is the primary channel for most B2B sequences.

Creating Email Steps

Subject Lines

  • Keep under 50 characters for mobile

  • Use personalization variables like {{BUYER.CONTACT.FIRST_NAME}}

  • Test different approaches

Body Content

  1. Opening: Personalized hook

  2. Value: Clear benefit or insight

  3. Social Proof: Relevant success story

  4. CTA: Single, clear next step

Email Step Settings

Timing Configuration

  • Day: When to send (0 = immediate, 1 = next day, etc.)

  • Type: Introduction, Follow-Up or Break-Up. The prompts behind the scenes adjust slightly for each of these types.

  • Name: Helps identify the step in the sequence and in reporting

Important: After configuring your email step, click "Save Message" to preserve your changes. It does not autosave.

LinkedIn Steps

Connection Requests

Must Come First You cannot send LinkedIn messages until the connection request is accepted. Always create a connection request step before any LinkedIn message steps.

Character Limits

  • 300 characters maximum

  • No formatting or links allowed

  • Mobile shows only first ~100 characters

Example Template:

Hi {{BUYER.CONTACT.FIRST_NAME}}, I noticed {{AI.CONNECTION_REASON}}.
Would love to connect and share insights on {{AI.VALUE_PROP}}.

LinkedIn Messages

For Connected Prospects Only

  • Messages can only be sent after connection approval

  • No character limit for messages

  • Can include links

  • Higher visibility than email

Important: Click "Save Message" after creating your LinkedIn message.

Phone Steps

Phone steps provide scripts for your sales team.

Call Scripts

Basic Structure

  1. Introduction (5-10 seconds)

  2. Hook (15-20 seconds)

  3. Discovery (1-2 minutes)

  4. Value Prop (30 seconds)

Use the same variables as emails:

  • {{BUYER.CONTACT.FIRST_NAME}}

  • {{BUYER.ACCOUNT.NAME}}

  • {{AI.VALUE_PROP}}

Voicemail Scripts

Keep voicemails to 20-30 seconds:

Hi {{BUYER.CONTACT.FIRST_NAME}}, {{SELLER.NAME}} from {{SELLER.COMPANY}}.

Calling because {{AI.TRIGGER_EVENT}}.

I'll send you an email with more details.
Give me a call back at {{SELLER.PHONE}}.

Direct Mail Steps

Physical mail for high-value prospects. Create these just like you do other sequence messages.

Include a link to the landing page and we'll convert this to a QR code that is available on the letter. Helps you identify engagement from this step.

Step Management

Adding Steps

  1. Click the "+" button in the template sidebar

  2. Configure:

    • Delivery Method: Email, LinkedIn, Phone, Direct Mail

    • Day: When to send (relative to sequence start)

    • Name: Internal reference (optional)

  3. Click "Create Sequence Step"

  4. Add your content

  5. Click "Save Message" to preserve your step

Reordering Steps

To Change Step Order:

  1. Edit the step you want to move

  2. Change the Day field to your desired timing

  3. Click "Save Message" to save the new position

  4. Steps will automatically reorder based on day

Editing Step MEssages

  1. Click step in sidebar to select

  2. Modify content directly

  3. Click "Save Message" to preserve changes

  4. Changes apply to new sequences only

Critical: Always click "Save Message" after any edits or your changes will be lost.

Deleting Steps

  1. Edit the step

  2. Click "Delete" button

  3. Confirm deletion

The step is then deleted, this cannot be undone

Advanced Techniques

Template Libraries

Build reusable step templates:

  • Create standard frameworks

  • Share across team

  • Import/export options

  • Maintain consistency

Revveal Variables

Use Revveal variables for dynamic content inside of the AI Snippets:

  • <revveal-company-insights>

  • <revveal-contact-research>

  • <revveal-trigger-events>

These pull from RevvedUp's research engine to add deep personalization.

Troubleshooting

Content Generation Issues

AI Not Generating Content

  • Check that all required AI snippets have prompts

  • Verify template has at least one step

  • Ensure campaign has active status

Poor Quality Generation

  • Review AI snippet prompts for clarity

  • Check writing controls settings

  • Verify data quality for contacts

Variables Not Populating

  • Confirm variable syntax is correct

  • Check that contact has required data

  • Use fallback values where appropriate

Generation Taking Too Long

  • Large batches may take time

  • Check campaign processing queue

  • Contact support if delays exceed 2-4 hours

  • RevvedUp prioritizes content quality, causing some of our messages to take longer to generate
